Welcome to smarter scheduling with Calendar Users and Resources! In Smackdab, your calendar isn't just for people, it's for everything that makes your business run. This powerful feature allows you to schedule events for both your team members and essential assets like meeting rooms, company vehicles, or shared equipment.
By bringing everyone and everything into one centralized calendar, you get a crystal-clear view of who's busy, what's available, and how your resources are being used. It’s the perfect way to improve coordination, eliminate scheduling conflicts, and manage your operations with total confidence.
There are two types of resources you can manage:
Users: Your internal team members. See their availability at a glance to coordinate meetings and activities across the entire organization.
Resources: Any reservable asset you create, from boardrooms to projectors. Track and book shared resources right from your calendar.
Events from Calendar Users: See Who's Doing What
All active users in your organization are automatically available on the calendar. This gives you incredible visibility into your team's schedule. You can easily filter the calendar to show events for:
A single person
A selected group of team members
Everyone in the company
Even better, you can drill down further by filtering for specific job positions. This gives you granular control, allowing you to see exactly the schedule you need without any extra noise.
Events from Calendar Resources: Manage Your Shared Assets
Want to add a bookable meeting room or piece of equipment to your calendar? It’s easy! A "Resource" is simply a custom object you create and designate for scheduling. Here’s how it works:
Create a custom object (e.g., "Meeting Rooms") and set its type to Resource.
Add this object to an entity in your CRM.
Once that's done, your custom object will appear as a selectable Calendar Resource. You can then view the calendar to see events associated with a single resource ("Room A"), a few resources, or all of them. This makes managing shared assets effortless.
Example: Booking a Meeting Room Like a Pro
Let's say your office has three meeting rooms: Room A, Room B, and Room C.
Step 1: Create the Resource You create a custom object called "Meeting Rooms" and set its type to Resource. You then add records for Room A, Room B, and Room C.
Step 2: View Them on the Calendar Now, on your main calendar, you’ll see a "Calendar Resources" section. Under it, "Meeting Rooms" will be listed, with all three rooms appearing as selectable options.
Step 3: Schedule with Confidence When a team member books Room A for a 2 PM meeting, that event instantly appears on the calendar under Room A's timeline.
This simple setup allows everyone to:
Avoid double bookings
Instantly check room availability
Seamlessly coordinate meetings across the entire office
This feature is a game-changer for any team that relies on shared resources, providing a transparent, all-in-one view right inside your CRM.
